Refund & Cancellation

This Refund & Cancellation Policy outlines the rules and timelines under which BattleVerse (the "Platform Operator") distributes refunds for tournament registrations and balance withdrawals.
1. Core Refund Rules
As a competitive esports platform handling entry fees and prize pools, our match structures depend on registered participant counts. Therefore, we enforce a strict refund policy:
- **Cancellations > 3 Hours**: If you request to leave a tournament **more than 3 hours** before the scheduled start time, the entry fee will be refunded in full to your platform wallet balance.
- **Cancellations < 3 Hours**: Once the tournament is **within 3 hours** of the scheduled start time, your entry fee becomes non-refundable, and you cannot withdraw from the tournament.
- **After Tournament Commences**: Once a tournament begins or custom room credentials are distributed, **no refunds** will be issued under any circumstances, regardless of participation status, device crashes, or ping spikes.
2. Disqualification & Rule Violations
BattleVerse enforces strict fair-play and sportsmanship standards. If you are disqualified from a tournament by moderators or automated anti-cheat systems for:
- Using hacks, cheats, scripts, or aimbots.
- Accessing mobile-only lobbies via PC emulators.
- Teaming with enemies, collusion, or match-fixing.
- Harassing opponents or displaying toxic behavior.
In the event of disqualification, you forfeit your entry fee, tournament standings, and eligibility for any prizes. **No refunds will be granted** under these circumstances.
3. Platform Cancellations
If BattleVerse cancels a scheduled tournament before it begins due to:
- Low registration count (insufficient squads or players to construct balanced brackets).
- Technical lobby issues or server updates.
- Force majeure events.
All registered participants will automatically receive a **100% refund** of their entry fees credited directly back to their platform wallet balance, or an equivalent tournament credit.
4. Technical Platform Issues
Esports matches are subject to connectivity and technology limits.
- **Platform-Side Outages**: If a tournament cannot be conducted or completed due to a technical failure caused **solely** by BattleVerse servers or administrative tools, the platform will, at its discretion, refund entry fees, issue equivalent credits, or reschedule the match.
- **User-Side Latency**: BattleVerse is **not liable** for and will not issue refunds for connection failures, high latency, device incompatibility, battery drain, or crashes occurring on the user's side.
5. How to Request a Refund
If you qualify for a refund under Section 1 (more than 3 hours before start time):
- Log in to your BattleVerse account and navigate to the tournament details page.
- Click the **Leave Tournament** or **Request Refund** button.
- The system will check the time remaining before the match starts. If eligible, your slot will be vacated, and the fee will be instantly credited to your wallet balance.
For other refunds (such as platform cancellations or technical errors), please raise a support ticket on our Discord server or email our finance team.
6. Processing Timelines
Refunds processed back to your platform wallet balance are **instant**. If you request to withdraw your platform balance to your linked UPI bank account, standard payout rails apply:
- UPI cashouts typically settle in **10 to 30 minutes**.
- Bank processing delays may extend settlement times to 24-48 business hours in rare cases.
